Policy Development and Implementation 1) Approval for the Use of Generative AI ① The use of generative AI for the organization’s activities shall require prior approval from the [Steering Committee]. ② Before approving the use of a specific generative AI system, the organization shall establish usage policies, including an assessment of the system’s performance, appropriate pricing plans, and required configurations or settings. ③ The designated AI Officer shall maintain a list of generative AI systems used by the organization and notify members of any changes. ④ Where the use of generative AI would replace or significantly alter existing work processes, prior consultation with members of the organization shall be conducted. If individual members of an organization use a wide range of AI services at their own discretion, there is a risk that unreliable AI tools may be used or that AI services may be used in ways that are inconsistent with this policy. To systematically manage and mitigate these risks at the organizational level, it is necessary to establish procedures for approving and managing the AI tools used by the organization. To this end, before adopting a specific AI service, the organization should conduct a thorough assessment of the service’s capabilities.
